Job Summary
Provide functional support to the NHP Quarantine Operation. Responsible for operational support that includes completion of tasks required for import and shipment of NHPs, including database entry. Performs assigned tasks using established criteria and serves as back-up to senior Operations Support co-workers with ordering and acquisition of general and critical supplies and materials essential to operation of the business. Coordinate site activities.
Work schedule: Onsite, Monday-Friday, 7:30am-4:00pm
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- With direction and oversight, prepares documents required by regulatory agencies to facilitate the international and domestic transfer of NHPs.
- May solicit and evaluate vendor quotations for transportation shipments and, using established criteria, assign projects to selected vendors.
- May confirm delivery specifications and follow-up with internal customers to verify order delivery.
- Submits orders and prepares purchase requisitions for supplies including but not limited to various types of feed, shipping crates, sanitation supplies, equipment, and general office supplies.
- Establishes and maintains files, physical and electronic. May handle confidential files.
- Prepares documents and forms required for import or export of NHPs.
- Prepares documentation and provides general administrative assistance including, but not limited to, receiving and distributing mail, taking phone messages, handling routine matters or referring them to the appropriate parties for action.
- May prepare overnight shipping labels as requested, including domestic and international shipments.
- Relays information and requests to department members; coordinates and follows-up on action items as needed to ensure completion.
- Plans and organizes Employee Engagement Activities and calendars
- Assists with phone coverage for others as needed.
- May greet visitors, handle scheduling for one or more conference rooms, ensure office machinery is maintained and/or handle mail and shipping activities for the department.
- Perform all other related duties as assigned.
The pay range for this position is $23.00-26.00/hr. Hourly pay varies based on factors including, but not limited to, experience, skills, education, certifications, and location.
Job Qualifications
- Education: High School or G.E.D.; specialized administrative training beyond High School preferred.
- Experience: Two to three years of office experience. Experience with inventory and working in lab animal field is a plus.An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.
- Ability to prioritize and multi-task.
- Excellent attention to detail.
- Strong keyboarding skills, proficiency in utilizing computers, e-mail and standard office software packages (word processing, spreadsheet, presentation, database).
- Demonstrated understanding of company policies and practices.
- Demonstrated ability to maintain confidentiality and to appropriately assess and escalate urgent matters.
