Job Summary

We are seeking an Administrative Assistant II to join our Insourcing Solutions team, located in Bethesda, MD.
As the Administrative Assistant II, you will provide administrative and clerical support for the NIAID Project Management team; perform secretarial, clerical, organizational and administrative support duties and assist with planning/scheduling of activities.
Additional responsibilities include:
•    Creating, updating, and maintaining spreadsheets and other databases utilizing MSWord, Excel, and other programs specific to the support of the client’s operation
•    Assist with office communications: emails, phone calls and arrange conference calls as needed 
•    Ordering supplies, filing, arranging conference calls, arranging/maintaining conference room usage, preparing International and Domestic packages for shipment.
•    Coordination of procurement across eight animal facilities and two laboratory sections ensuring timely acquisition of supplies and equipment in compliance with federal procurement regulations
•    Attend meetings and take meeting notes as needed
•    Cross train with other facility administrative staff to cover during periods of absence/surge
•    Assist in employee engagement activities
•    Assist with maintaining the Occupational Health files
•    Review reports/documents for grammar and formatting
•    Oversee documentation and records for all facility purchasing; maintain vendor communication and ensure accurate account reconciliation for account receivables 
•    Experienced with NIH Centralized Animal Procurement System (CAP) for ordering small laboratory animals and Taconic Biosciences for research models and services to researchers
•    Monitor and manage facility budgets across three facilities, using Oracle systems such as AMBIS and NBS, maintain detailed expense tracking spreadsheets to ensure compliance with fiscal constraints. 
•    Conduct monthly error report analysis and align facility records with Animal Care and Use Committee (ACUC) protocol requirements
•    Coordinate ASBL2 & ABSL 3 Orientation schedule for multiple labs and staff members

Job Qualifications

•    High school diploma or general education degree (GED).
•    A minimum of one-year experience working in an animal research environment performing tasks as described above. 

Additional requirements 
•    Proficient written (grammar and punctuation) and oral communication skills as well as secretarial, clerical, and organizational support skills.  Must have accurate, typing/data entry skills.  
•    Ability to work independently with minimal supervision; ability to prioritize and multitask and demonstrate organizational skills.
•    Must be able to effectively and constructively interact with a wide variety of people both inside and outside the NIH.

The hourly range for this position is $27/hour-$29/hour.
